Supplier Terms

Terms of Service for Supplier Members

1. About us

We are Indi Local, a UK-based boutique street food agency and platform that connects mobile food vendors with customers, event organisers, and corporate clients. Our mission is to help local traders get seen, get booked, and grow their business through greater visibility, event matchmaking, and marketing support.

2. Our contract with you

These Terms form a legally binding agreement between you (“Vendor”, “you”) and Indi Local (“we”, “us”, “our”). By signing up for the Supplier Membership, you agree to these Terms. If you do not agree, you must not use our services.

 

3. Our services​

As a Supplier Member, you will receive:

  • Access to all features on the Indi Local app (e.g. having a sharable business profile, adding unlimited events to the discovery map) 

  • A listing in our vendor directory for event organisers and corporate clients

  • Priority access to exclusive corporate, private as well as public job opportunities

  • Calendar support – we’ll help keep your schedule up to date

  • Access to the vendor portal to manage your bookings, documents, and availability

 

As an App-Only Member, you will receive: 

  • Access to all features on the Indi Local app (e.g. having a sharable business profile, adding unlimited events to the discovery map) 

  • Trade opportunities that are unfilled by Supplier Members

  • Access to the vendor portal to manage your bookings, documents, and availability

As an App Starter User, you will receive: 

  • Access to limited features on the Indi Local app (i.e. limited to adding 5 events to the discovery map)

  • Trade opportunities that remain unfilled by both Supplier Members and App-Only Members

​

As part of the wider network, you will receive: 

  • Trade opportunities that remain unfilled by Supplier Members, App-Only Members & App Starter Users

4. Your obligations

By joining Indi Local, you confirm that:

  • You have up-to-date insurance and relevant food hygiene certifications

  • You will respond to booking opportunities promptly and communicate professionally

  • You will uphold a high standard of service at all events you attend through Indi Local

 

5. Job invite prioritisation

Indi Local uses a structured priority system to ensure fair access to job opportunities based on membership status and suitability:

  • Supplier Members – First to receive invites, based on cuisine and location

  • App-only Members – Next in line if no Supplier Members are available

  • App Starter Users – Next in line if no App Members are available

  • Wider Network – General outreach only if job remains unfilled

 

This tiered structure helps us match the right vendors with the right events quickly and gives our most engaged members the best chance at securing bookings.

 

6. Accepting bookings

By applying for or accepting a job via Indi Local, you agree to:

  • Honour your commitment to the event unless exceptional circumstances arise

  • Notify us immediately if you are unable to attend

  • Understand that frequent no-shows or late cancellations may result in temporary or permanent removal from the platform

  • Not bypass Indi Local by engaging directly with any event organiser introduced to you through us. Any relationship with that organiser will remain bound to Indi Local unless otherwise agreed in writing.

 

7. Commission 

We operate on two main pricing models:

a. For vendors on our Supplier Membership:
Vendors on a monthly or annual Supplier Membership may receive public event bookings with no commission charges. Private (pre-paid) event bookings are subject to a reduced commission rate.

​

b. For vendors not on our Supplier Membership:
Alternatively, vendors who are not on supplier membership may be eligible to apply for certain jobs but will be charged a % commission on the final invoice for both public and private (pre-paid) jobs, and this will be stated clearly during the job application process. 

 

8. Vendor Deposit

All event bookings made through Indi Local require a refundable deposit. This policy is in place to protect our event partners from last-minute cancellations or no-shows, which can have significant consequences for the success of their events.

 

The deposit is fully refundable upon attendance at the event, following submission of your till slip or sales report. The refundable amount will be returned minus any applicable commission.

 

Failure to attend, or failure to submit your sales data within the required timeframe, may result in the loss of the deposit and may affect your eligibility for future bookings.

 

This deposit policy applies to all vendors, regardless of membership status.

 
9. Payment Handling

​

Indi Local is solely responsible for collecting any commission due. There should be no direct financial transaction between the vendor and the event organiser. We act as the third-party facilitator, ensuring a smooth and fair process for both sides.

 

Commission-based jobs will be invoiced within 48 hours of receiving your sales report, with payment due within 7 days.

10. Pre-paid event bookings

If you have accepted a pre-paid job, you will receive a separate, event-specific contract that outlines job details including covers, rates, and terms. You are still bound by the Supplier Terms, in addition to the event-specific contract.

​

  • Payment Process:

    • The event organiser pays Indi Local the full amount for the number of covers required.

    • Indi Local pays the vendor a 10% deposit upon accepting the job. This confirms the booking and starts a legally binding agreement between Indi Local and the vendor.

    • After the event, you must submit a sales report (see Section 11) to confirm how many covers you have served. 

    • The final balance will be paid after the sales report has been submitted.

    • If extra covers are served, any additional fees will be invoiced to the organiser and paid to the vendor, if this is included in the event-specific contract.

11. Sales reporting & analytics

For all events except pre-paid jobs, you must submit a till slip or a clear screenshot of your total sales from the event within 24 hours of finishing trade. For pre-paid jobs, you must confirm the number of covers served within 24 hours of finishing trade.

This applies even if you are not being charged a commission.​

We use this information for:

  • Event performance analytics

  • Understanding how well vendors trade at different sites

  • Supporting future event planning and negotiation​

 

If the job is commission-based, we will issue an invoice within 48 hours of receiving your sales report, based on the agreed commission rate, with payment due within 7 days.

 

Failure to submit your sales report may affect your eligibility for future jobs. If you traded at a pre-paid event, it may also delay the processing and payment of your remaining balance.

 
12. Event organiser relations

If a booking is introduced or facilitated by Indi Local (whether paid, commissioned, or unpaid), you may not arrange future direct bookings with that organiser outside of the Indi Local platform.

 

Doing so constitutes a breach of trust and of these Terms and may lead to suspension or removal from the platform.

 

13. Cancellations

You must notify us of any cancellations at least 7 days before the event.

Cancellations within 48 hours may result in reduced priority for future opportunities.

 

We understand emergencies happen - please communicate clearly with us to maintain your standing.

 

14. Disputes

While we are not party to contracts between vendors and organisers unless explicitly stated, we will support communications and transparency where possible. We may intervene to mediate, but we are not liable for disputes unless the booking was directly contracted through us.

 

15. Right to use the platform

You are granted a limited, non-exclusive, non-transferable licence to use the Indi Local platform and services, subject to compliance with these Terms. We reserve the right to suspend or terminate access if we believe our platform is being misused.

 

16. Data use & protection 

By uploading information, menus, images, or scheduling details to the Indi Local platform:

  • You grant us the right to include this information in our vendor directory for organisers and corporate clients

  • You grant us the right to include this information in our social media material

  • You consent to us using your business name, photos, and availability when matching you with relevant job opportunities

  • You understand that this information may be shared with event organisers as part of your application or booking consideration

We will not share your personal contact information without your explicit consent. We handle all data in accordance with UK GDPR and applicable data laws, see our privacy policy.

 
17. Limitations of liability

We do not guarantee job outcomes or specific income levels. While we vet opportunities carefully, we are not liable for organiser actions, cancellations, footfall, or weather-related trading losses.

 

To the extent permitted by law, Indi Local disclaims liability for any indirect or consequential loss arising from your use of the platform or participation in a listed event.

 

18. Your indemnity to us

You agree to indemnify and hold Indi Local harmless from any claims, damages, or losses arising from:

  • Your non-compliance with food hygiene or trading regulations

  • A breach of these Terms

  • Any misconduct or service complaints during events booked through Indi Local

 

19. Confidentiality

Any sensitive commercial information shared between you and Indi Local — including contracts, organiser details, or internal processes — must be treated as confidential. This also applies to pricing, strategy, and booking negotiations unless written consent is provided.

 

20. Communications between us

We will communicate with you primarily via email and mobile. You may receive app notifications or job alerts. You can opt out of promotional communications at any time, but we will continue to send operational updates relevant to your bookings or membership.
